Automating documentation
A compliance system that works out what each worker needs, tracks every document's status, and asks for a renewal before anything lapses.
At a glance
- Situation
- Every support worker must prove their identity, clearances and right to work, many documents expire, and a stretched compliance team chased them all by hand.
- Task
- Make sure every worker always holds valid certifications, with as little manual handling as possible.
- Action
- Designed it in three phases: a personalised requirements list at registration, a shared control panel with live status for staff and workers, and automated reminders when a document is rejected or nearing expiry.
- Result
- A system that keeps its own checklists and guides workers through renewals and corrections, so staff handle exceptions instead of every document.
Paperwork that never stops
Every support worker has to verify who they are and what they're cleared to do. The list runs from the simple (ID, a police check, first aid) to the complex (regional working-with-children clearances, visa grant papers, vehicle insurance). Chasing it was an early barrier to joining, and because many documents expire, the chase never ended. The compliance team was already under pressure as the platform grew.
Always valid, with as little handling as possible
Two goals: make sure every worker holds valid certifications at all times, and make managing them low-touch, to cut processing time and the risk of human error.
Three phases, each removing a manual step
- Collect the right dataAt registration, a worker's state, visa status and the services they plan to offer generate a personalised list of required documents, with structured fields for ID numbers and issue dates.
- Share one control panelStaff mark each document approved or rejected; workers see its live status (requested, submitted, validated) and fix it themselves. Structured statuses let us report on trends and at-risk groups, such as first aid certificates expiring within seven days.
- Automate the remindersWhen a document is rejected or close to expiring, the worker gets a request to update it, linked straight back to the panel. Nobody has to send it.
A system that keeps its own checklists
- All threephases shipped.
- Personalisedrequirements from the first screen, so workers know exactly which documents they need.
- Self-servicerenewals and corrections, guided by live status instead of staff emails.
- Reportablecompliance, with at-risk groups visible before anything lapses.
Together with the clearer onboarding path, workers arrived with their documents more often in hand. This system kept track of which had been processed and where each stood, and in time took over the first round of chasing.
